About StringBean

StringBean is a cloud-based workflow inspection and service management platform for web (desktop) and mobile. It helps organizations centralize maintenance visibility, communication, and workflows.

Use it to:

  • Build reusable workflows for inspections, tasks, and routine operations.
  • Create, assign, and monitor Tasks (Service Requests).
  • Schedule recurring workflows and auto-route incoming work with the Smart Ticketing System
  • Capture structured field data with beans β€” photos, videos, audio, locations, QR/barcode scans, and custom questions
  • Run vendor check-in and check-out workflows from mobile devices
  • Generate reports in PDF, Word, Excel, CSV, and HTML formats

Who StringBean is for

StringBean is built for teams that run structured field work across multiple locations β€” inspections, tasks, maintenance, vendor check-ins, and recurring operations. That typically includes property managers, facilities teams, operations leads, and the vendors and contractors they coordinate with.

Key concepts

Everything above runs on a single core idea: reusable Workflows.

A Workflow is a reusable template defining a sequence of interactive fields called beans (questions, photos, attachments, text area, etc..). Used to standardize data collection and operations. Users fill out these beans to complete a Task.

Definition

Bean

An individual element within a Workflow: text input, photo capture, location pin, attachment, decision branch, calculation, notification trigger, etc.

Task

An assignment created from a Workflow, assigned to users or teams for completion. Previously referred to as a Service Request (SR)

Daily Note

A record documenting an issue, safety event, or observation. Previously referred to as Incident Reports.

Library

The catalog of available Workflows that can be issued as Tasks.

Location

A physical site or area (region, floor, suite) where the actual assigned task is performed

Reports

A place where completed task data is compiled into a document for visibility, analysis, and distribution

On Web

The application uses a left sidebar for primary navigation. Menu items are organized into sections:

  • Overview β€” Dashboards and analytics
  • Libraries β€” Workflow management
  • Management β€” Tasks, Daily Notes, Reports
  • Organization β€” Users / Teams, Locations (equipment), Vendors, Tenants, Calendar
On Mobile

A user dropdown menu in the bottom-left provides access to Settings, Help Center, Data Search, & Logout

The app uses a bottom navigation bar with five main tabs:

  • Dashboard – View key updates and overall activity
  • Tasks – Access and manage your tasks, daily notes, exceptions
  • Create – Create a new task or daily note
  • Scan – Scan QR codes, barcodes, or NFC tags
  • Menu – Access to additional features and settings
Portals

The app supports tenant + vendor modes:

  • Tenant Portal β€” Simplified interface for tenants/residents to submit requests for service and view calendars
  • Vendor View β€” Interface for vendors to check-in/out
