How to Create a Folder

Organize your workflow templates by creating top-level folders and nested subfolders in the Library. Includes both creation methods.

Folders organize your workflow templates in the Library. You can create as many folders as you need at the top level, and nest subfolders inside them for finer-grained organization.

Default folders

Every account starts with two default folders that cannot be deleted, moved, renamed, or permissioned:

  • My Favorites — contains two subfolders, User Favorites and Company Favorites -> used to bookmark workflows for quick access.
  • Team Folders — a parent folder for organizing your team's workflow templates

You can create additional folders alongside these defaults

Create a folder

  1. Go to the Team Library
  2. Click the + New Folder button at the bottom of the left panel
  3. Enter a name for the folder.
  4. Click Save

The new folder appears at the top of the list, below My Favorites and Team Folders. Each folder shows the number of subfolders and workflows it contains

Create a subfolder

Subfolders nest inside other folders for finer organization. Use them to break a big category into smaller groupings.

Some examples of how teams organize their workflows:
- By frequency: An "Inspections" folder with "Daily", "Weekly", "Monthly", and "Quarterly" subfolders.
- By location or asset type: A "Building Inspections" folder with "Lobby", "Roof", "Mechanical Room", and "Parking Garage" subfolders.
- By role or team: A "Vendor Workflows" folder with "Cleaning", "HVAC", "Landscaping", and "Security" subfolders
- By season: A "Maintenance" folder with "Winter Prep", "Spring Cleanup", "Summer", and "Fall" subfolders.
You don't have to pick one structure most teams mix approaches based on how they think about their work.
Method #1 [Best]:
  1. Find the folder you want to nest a subfolder inside
  2. Hover over the folder to reveal the three-dot menu (⋮).
  3. Click the menu, then select Add Subfolder.
  4. Enter a name for the subfolder.
  5. Click Save
Method #2 [Alternative]:

If you already have a folder you want to turn into a subfolder, move it instead of recreating it

  1. Find the folder you want to nest
  2. Hover over the folder and click the three-dot menu (⋮).
  3. Select Move Folder
  4. In the "Select a folder" dialog, click the destination folder
  5. Click Submit

The folder becomes a subfolder of the destination, along with anything inside it (workflows and any nested subfolders move with it).

The dialog also has a Move to the root level option at the top. Use it to move a folder out of its current parent and back to the top-level Library, where it sits alongside Team Folders and My Favorites

The subfolder is created underneath the parent folder. To view subfolders, click the right arrow (▸) to the left of a folder name

The arrow expands the folder to show its subfolders, letting you browse the nested structure without leaving the folder list

Nesting limits: There's no limit on how many subfolders you can create or how deep the nesting can go. That said, deeply nested structures get harder to navigate — most teams stick to two or three levels

What you can do with a folder

Hover over any folder to reveal the three-dot menu (⋮)

The menu includes:

  • Rename Folder: Change the folder's name
  • Delete: Remove the folder
  • Move Folder: Move the folder to a different location in the structure
  • Add Subfolder: Nest a new folder inside this one (see steps above).
  • User Permission: Control which roles can access the folder. Admin only. See [How to Set Folder Permissions]
